Make Chronivio work your way. This guide shows you how to personalize your workspace, adjust settings, and configure defaults to match your workflow.

Profile Settings

Update Your Profile

Customize how you appear in Chronivio:

  1. Click your avatar in the top-right corner
  2. Select Profile
  3. Update any of the following:
    • Display name
    • Email address
    • Phone number
    • Profile photo
  4. Click Save Changes

Tip: Your display name appears on appointments and in communications with your team. Choose something professional and recognizable.

Change Your Password

Keep your account secure:

  1. Go to Profile
  2. Scroll to Security
  3. Click Change Password
  4. Enter your current password
  5. Enter your new password twice
  6. Click Update Password

Security Tip: Use a strong password with a mix of letters, numbers, and symbols. Change it regularly for best security.

Workspace Appearance

Theme Selection

Choose between light and dark modes:

  1. Click the theme toggle icon in the top bar
  2. Select Light or Dark

Your preference is saved automatically and syncs across all your devices.

Tip: Dark mode is easier on the eyes during evening work and conserves battery on mobile devices.

Language Options

Chronivio supports multiple languages:

  1. Go to Settings
  2. Select Language
  3. Choose your preferred language:
    • English
    • Russian
    • More languages coming soon!
  4. The interface updates immediately

Notification Settings

Appointment Reminders

Configure when you receive appointment reminders:

  1. Navigate to Settings
  2. Select Notifications
  3. Choose reminder timing:
    • 24 hours before
    • 2 hours before
    • 30 minutes before
    • Custom timing
  4. Select notification channels:
    • Email
    • Telegram
    • In-app notifications

Telegram Notifications

Control what notifications you receive in Telegram:

  1. Open your Telegram app
  2. Message @ChronivioBot
  3. Send /settings
  4. Choose notification preferences:
    • New bookings
    • Appointment reminders
    • Client messages
    • Daily schedule summary
    • Low inventory alerts

Calendar Preferences

Working Hours

Set your regular availability:

  1. Go to Calendar
  2. Click the settings icon
  3. Select Working Hours
  4. For each day:
    • Toggle the day on/off
    • Set start and end times
    • Add breaks if needed
  5. Click Save Schedule

Tip: Set realistic working hours. You can always add appointments outside these hours manually, but this sets your default availability.

Default Appointment Duration

Set how long appointments typically last:

  1. Go to Calendar settings
  2. Select Default Duration
  3. Choose a time (15, 30, 45, 60 minutes, etc.)
  4. This becomes the default when creating new appointments

Calendar View

Customize your calendar display:

  1. Go to Calendar settings
  2. Choose Default View:
    • Day view (hour-by-hour)
    • Week view (7-day overview)
    • Month view (full month)
  3. Select Start of Week:
    • Sunday
    • Monday

Service Configuration

Service Categories

Organize your services:

  1. Navigate to Services
  2. Click Categories
  3. Create categories like:
    • Piercings
    • Consultations
    • Follow-ups
    • Jewelry Changes
  4. Assign services to categories

Default Pricing

Set your standard pricing structure:

  1. Go to Services
  2. For each service, set:
    • Base price
    • Duration
    • Description
    • Category
  3. Update these anytime as your pricing changes

Booking Widget Customization

Widget Appearance

Make the booking widget match your website:

  1. Navigate to Settings
  2. Select Booking Widget
  3. Customize:
    • Primary color
    • Button text
    • Header image
    • Welcome message
  4. Preview changes in real-time
  5. Click Save

Available Time Slots

Control when clients can book:

  1. In Booking Widget settings
  2. Select Availability
  3. Choose:
    • Buffer time between appointments
    • Maximum advance booking (e.g., 60 days)
    • Minimum notice required (e.g., 24 hours)
    • Blackout dates

Required Information

Choose what information clients must provide:

  1. In Booking Widget settings
  2. Select Form Fields
  3. Toggle required fields:
    • Name (always required)
    • Phone number
    • Email
    • Date of birth
    • Custom questions

Customer Management Preferences

Badge System

Create custom badges for clients:

  1. Navigate to Settings
  2. Select Customer Badges
  3. Create badges like:
    • VIP
    • Regular
    • First-time
    • Referral
  4. Assign colors and criteria

Custom Fields

Add custom information fields to client profiles:

  1. Go to Settings
  2. Select Custom Fields
  3. Add fields like:
    • Allergies
    • Preferred aftercare
    • Pain tolerance
    • Preferred artist
  4. These fields appear on all client profiles

Staff Settings

Professional & Enterprise plans

Staff Permissions

Control what team members can access:

  1. Navigate to Staff
  2. Click on a team member
  3. Set permissions:
    • View all clients vs. assigned only
    • Edit appointments
    • Process payments
    • View reports
    • Manage inventory
    • Admin access

Commission Structure

Configure how commissions are calculated:

  1. Go to Staff
  2. Select a team member
  3. Click Salary Settings
  4. Choose:
    • Percentage of service price
    • Fixed amount per service
    • Hourly rate
    • Mixed compensation model

Data & Privacy

Export Your Data

Download your data anytime:

  1. Navigate to Settings
  2. Select Data Export
  3. Choose what to export:
    • Customer data
    • Appointment history
    • Transaction records
    • Photos
  4. Select format (CSV or JSON)
  5. Click Request Export
  6. You'll receive a download link via email

Data Retention

Control how long data is stored:

  1. Go to Settings
  2. Select Data Retention
  3. Set retention periods for:
    • Old appointments (recommended: 2 years)
    • Client photos (recommended: keep all)
    • Transaction history (recommended: 7 years for tax purposes)

Integration Settings

Telegram Bot

Connect and configure your Telegram bot:

  1. Open Telegram
  2. Search for @ChronivioBot
  3. Send /start
  4. Follow authentication steps
  5. Send /link and enter your workspace URL
  6. Confirm the connection

Akeneo PIM

Connect your product catalog:

  1. Navigate to Settings
  2. Select Integrations
  3. Click Akeneo PIM
  4. Enter your API credentials
  5. Map product fields
  6. Click Connect

n8n Automation

Set up custom workflows:

  1. Go to Settings
  2. Select Integrations
  3. Click n8n
  4. Copy your Chronivio API key
  5. Use this key in your n8n workflows
  6. Create automations between Chronivio and other apps

Advanced Settings

API Access

Enterprise plan

Generate API keys for custom integrations:

  1. Navigate to Settings
  2. Select API
  3. Click Generate New Key
  4. Name your key (e.g., "Mobile App", "Website Integration")
  5. Copy the key immediately (shown only once)
  6. Use in your custom applications

Webhooks

Enterprise plan

Receive real-time updates about events:

  1. Go to Settings
  2. Select Webhooks
  3. Click Add Webhook
  4. Enter your endpoint URL
  5. Choose events to monitor:
    • New appointment
    • Appointment updated
    • Payment received
    • New customer
  6. Save and test the webhook

Backup & Recovery

Automatic Backups

Chronivio automatically backs up your data:

  • Daily backups of all data
  • Stored for 30 days
  • Geo-redundant storage
  • Point-in-time recovery available

Manual Backup

Create a manual backup anytime:

  1. Go to Settings
  2. Select Backup
  3. Click Create Backup Now
  4. Wait for confirmation
  5. Download a copy for local storage if desired

Tips for Customization

Start Simple - Don't try to customize everything at once. Start with the basics (theme, notifications) and add more as you get comfortable.

Review Quarterly - Check your settings every few months to ensure they still match your workflow.

Test Before You Share - If customizing the booking widget, test it thoroughly before adding it to your website.

Document Your Setup - Keep notes about your custom fields, badges, and settings so team members understand your system.

Use Templates - If you find settings that work well, take screenshots or notes so you can replicate them if needed.
